This dedicated policy explains how Apna Khata handles account, customer, supplier and ledger information.
1. Information Apna Khata may handle
Depending on the features you use, Apna Khata may handle:
- Account information: information needed to create and use an Apna Khata account, such as your mobile number and account credentials.
- Customer and supplier information: names, contact details or other information you enter for your business contacts.
- Ledger information: entries, amounts, dates, notes, balances and related customer or supplier account information that you choose to record.
- App settings: language, preferences and other local settings needed to operate the app.
- Device-stored app data: local database information and app-specific security data required for offline operation and access control.
2. How the app stores information
Apna Khata is designed with a local-first approach. Core ledger data is stored locally on the device so that supported account work can continue without an internet connection.
When connected account and synchronization features are available and used, the app may transmit relevant account and ledger information to the RIYAX backend. This is used to provide account synchronization and related online functionality.
3. Why information is used
- To provide the ledger, customer and supplier account features you request.
- To authenticate your Apna Khata account and maintain your session.
- To synchronize supported data between the app and RIYAX backend when online sync is used.
- To generate documents or summaries that you request.
- To troubleshoot, maintain and improve the application.
- To protect the service against misuse, unauthorized access and technical abuse.
4. Sharing from the app
Apna Khata includes actions such as WhatsApp, SMS, calling and document sharing. When you choose one of these actions, the information or document you select is passed to the relevant phone feature or third-party application. The third party then handles that information under its own policies.
For example, if you choose to share a khata summary through WhatsApp, you are initiating that share yourself. RIYAX does not decide which contact you send it to.
5. What we do not claim
Apna Khata is a ledger and business-record application. It is not a bank, payment processor, wallet or financial institution. Recording a transaction in the app does not move money by itself.
6. Passwords and account security
Account credentials are used to authenticate access to the service. The app also provides local security controls where supported. Never share your password or PIN with another person.
7. Backups and sharing
If you use an available local backup or sharing feature, the resulting file is under your control once it has been created or shared. Store exported files carefully because they may contain account information.
8. Third-party services
Apna Khata may interact with platform or third-party services that you explicitly use, including Google Play for app distribution and phone applications used for calling, SMS, WhatsApp or file sharing. Those services have their own terms and privacy policies.
9. Data retention and deletion
Local information can remain on your device until you delete it, clear the app's data, uninstall the app or use an available in-app deletion mechanism. Online account and synchronized information may be retained as needed to provide the account service. If you want your online Apna Khata account and associated server-side data deleted, contact us using the details below and include enough information for us to identify the account.
10. Children's privacy
Apna Khata is intended for business and personal record keeping and is not directed at children. We do not knowingly request personal information from children for the purpose of creating an Apna Khata account.
11. Security
We use reasonable technical and organizational measures appropriate to the application and the information handled. Online communication is intended to use HTTPS when the production backend is connected. No method of storage or transmission over the internet can be guaranteed to be completely secure.
12. Changes to this policy
We may update this policy when the application, backend or legal requirements change. The effective date at the top of this page will be updated when material changes are published.
